Position Description

As an Executive Assistant at BlueForge Alliance, you will play a pivotal role in providing high-level administrative support to our C-Suite leadership. This position requires exceptional organizational skills, attention to detail, and a proactive approach to managing the daily activities and responsibilities of our executive team. Reporting directly to the designated executive, you will be a key collaborator, problem solver, and gatekeeper, ensuring the smooth and efficient operation of the executive office.   • Manage and prioritize the executive's complex calendar, scheduling appointments, meetings, and travel arrangements.
  • Act as the primary point of contact between the executive and internal/external stakeholders, demonstrating professionalism and exceptional communication skills.
  • Prepare and edit correspondence, reports, and presentations on behalf of the executive.
  • Conduct research and gather information to support decision-making and strategic initiatives.
  • Coordinate and plan meetings and special events, both on-site and off-site.
  • Ensure all administrative tasks are completed accurately and in a timely manner, including expense reports, invoicing, and document management.
  • Assist in the preparation and distribution of meeting agendas, materials, and minutes.
  • Manage and maintain confidential information with the utmost discretion.
  • Collaborate with other members of the executive team and departments to facilitate communication and workflow.
  • Proactively identify areas for process improvement and implement efficient administrative procedures.
  • Anticipate the executive's needs and provide proactive solutions to streamline their workflow.
  • Handle incoming requests, inquiries, and urgent matters, delegating or escalating as appropriate.
  • Act as a liaison between the executive and other staff members, ensuring open lines of communication and coordination.

Qualifications

Bachelor's degree in business administration, management, or related field; master's degree preferred and proven experience as an executive assistant or in a similar administrative role supporting senior executives OR

or an equivalent combination of education and experience.

Exceptional organizational skills and attention to detail.

Excellent written and verbal communication skills.

Proficiency in office software, including Microsoft Office Suite and calendar management tools.

Ability to handle sensitive and confidential information with discretion.

Strong problem-solving skills and the ability to adapt to changing priorities.

Professionalism, poise, and the ability to represent the executive office effectively.

Outstanding time management skills and the ability to prioritize tasks effectively.

Positive attitude, flexibility, and a strong work ethic.

Ability to work independently and as part of a collaborative team.


Salary & Benefits

Expected Salary Range $70,000 – 95,000 depending on role and qualifications.
