Position Description

As a Program Administrator (Administrative Associate) at BlueForge Alliance, your role will be pivotal in providing essential administrative support and coordination for various programs and initiatives. Reporting to the Program Manager, you will play a key role in ensuring the successful execution of programs, efficient communication, and the overall effectiveness of our administrative processes.   • Provide general administrative support to the Managing Directors and teams, such as managing calendars, scheduling meetings, preparing documents, and handling correspondence.
  • Assist in the planning and execution of programs and projects within the Marketing & Communications and Workforce Development teams, from initial stages through completion, while adhering to budgetary guidelines.
  • Develop and maintain well-organized project calendars that are accessible to team members.
  • Maintain accurate records of project progress, budget allocations, and resource utilization.
  • Coordinate with internal and external stakeholders associated with the programs.
  • Establish and nurture relationships with stakeholders across the organization.
  • Assist in identifying, assessing, and mitigating program-related risks and ensure contingency plans are in place.
  • Collaborate with team members across BlueForge Alliance to facilitate smooth operations and effective communication.

Qualifications

  • Bachelor's degree in business, administration, or related field; 4-7 years of equivalent administrative support experience may be considered, or an equivalent combination of education and experience.
  • Exceptional organizational skills, the ability to manage multiple tasks effectively, and attention to detail.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office software including Word, Excel, PowerPoint, Suite, Outlook, Teams, and Zoom.
  • Ability to handle sensitive and confidential information with discretion.
  • Ability to work independently and as part of a collaborative team.
  • Strong problem-solving skills and the ability to adapt to changing priorities.
  • Outstanding time management skills and ability to prioritize tasks effectively.

Salary & Benefits

Expected Salary Range $45,000-80,000 depending on role and qualifications.
